Conference day is where planning gaps become visible fast. Here's a checklist covering the parts that most often go wrong, in the order they tend to break.

Check-in that doesn't bottleneck the door

A line at registration sets the tone for the whole day. QR-code check-in against a pre-loaded roster is dramatically faster than searching a printed list alphabetically while fifty people wait behind the first person.

Wayfinding for a venue nobody has been to before

Most competitors have never been inside the venue before. A floor plan with room-level pins and turn-by-turn directions on their phone means fewer people wandering hallways asking volunteers where Room 214 is.

Schedule conflicts caught before the day, not during it

A student double-booked in two judged rounds at the same time is a problem that should surface during registration, not when they don't show up to either room. Automatic conflict checking during scheduling catches this before it becomes a day-of scramble.

Competitor communication that reaches people, not just posted paper
